Introduction

ALBA Student Portal ("we", "our", or "the Portal") is operated to manage student registrations, attendance, academic records, and fee information for enrolled students and their families.

This Privacy Policy explains what personal information we collect, how we use it, how we protect it, and your rights regarding your data. By registering on this portal, you agree to the practices described below.

We collect only the information necessary to operate the student management system. We do not sell, rent, or share your data with advertisers or third-party marketers.

Information We Collect

During registration and use of the portal, we collect the following categories of information:

How We Use Your Information

Your information is used exclusively for the following purposes:

  • Maintaining your student record and generating your unique Student ID
  • Tracking attendance using your device and location at the time of registration
  • Managing fee payment records and outstanding dues
  • Recording academic scores and practical assignment results
  • Issuing documents such as certificates or letters when requested
  • Communicating important updates related to your batch or institute

We do not use your data for profiling, advertising, or any purpose outside of student management.

Data Storage & Security

Your data is stored across the following secure systems:

  • Google Sheets — primary administrative record, accessible only to institute administrators via Google account authentication
  • Firebase Realtime Database — registration data is written here first for reliability, then synced to the administrative sheet
  • Your device — a session token is stored in your browser's local storage to keep you logged in

All data in transit is encrypted using TLS. Access to administrative records is restricted to authorised institute staff only. Your student-facing data is accessible only after verifying your unique Student ID.

Your GPS coordinates are captured only once — at the time of registration — solely to verify physical presence at the institute. Location is not tracked during any other use of the portal.

Data Sharing

We do not sell or share your personal data with any third party except as follows:

  • Google — data is stored in Google Sheets and Firebase, both governed by Google's Privacy Policy
  • Cloudflare — all web traffic passes through Cloudflare's network for security and performance; Cloudflare processes request metadata per their Privacy Policy
  • Legal obligation — we may disclose data if required by applicable law or government authority

Your Rights

As a registered student you have the right to:

  • View your own personal data through the portal's Profile section
  • Request correction of inaccurate information by contacting institute administration
  • Request deletion of your account and associated data upon leaving the institute

Cookies & Local Storage

This portal does not use advertising cookies. We use browser local storage for the following limited purposes:

  • Storing your login session so you remain signed in between visits
  • Temporarily saving your registration form data in case of accidental page refresh

Clearing your browser's local storage will sign you out of the portal.

Changes to This Policy

We may update this Privacy Policy from time to time. Any significant changes will be communicated through the portal. Continued use of the portal after changes constitutes acceptance of the updated policy.

Acceptance of Terms

By accessing or using the ALBA Student Portal, you confirm that you have read, understood, and agree to be bound by these Terms of Use. If you do not agree to these terms, you must not use the portal.

These terms apply to all students, parents, and guardians who access the portal.

Eligibility

The ALBA Student Portal is intended exclusively for:

  • Students currently enrolled at the institute
  • Parents or guardians of enrolled students accessing data on their behalf

Unauthorised access by any other person is strictly prohibited and may constitute a criminal offence under applicable law.

Student ID & Account Security

Upon registration you are assigned a unique Student ID. You are responsible for:

  • Keeping your Student ID confidential
  • Not sharing your ID with any other person
  • Immediately reporting to administration if you believe your ID has been compromised

The institute is not liable for any unauthorised access to your account resulting from your failure to keep your Student ID secure.

Acceptable Use

You agree to use the portal only for its intended purpose. You must not:

  • Attempt to access another student's data or account
  • Use automated tools, bots, or scripts to interact with the portal
  • Attempt to reverse-engineer, tamper with, or disrupt the portal's systems
  • Submit false or misleading information during registration or profile updates
  • Use the portal for any unlawful purpose
  • Attempt to bypass security measures including location verification or device checks

Attendance & Location

The portal uses GPS location at the time of registration to verify physical presence at the institute. By registering, you consent to this one-time location check.

Attendance records marked through the portal are considered official. Any disputes regarding attendance must be raised directly with institute administration.

Academic Records

Scores, assignments, and results displayed on the portal are entered by institute staff and are considered official records. Students who believe a record is incorrect should contact administration immediately. The institute reserves the right to correct errors at any time.

Fee Information

Fee records displayed on the portal are for informational purposes only. The portal does not process payments. All fee transactions must be conducted directly with institute administration. Fee records are updated by staff and the portal reflects those updates.

Disclaimer of Warranties

The portal is provided "as is" without warranties of any kind. While we strive for accuracy and availability, we do not guarantee that the portal will be error-free, uninterrupted, or that all data will be current at all times. Always confirm critical information (fees, results, attendance) directly with institute administration.

Limitation of Liability

To the maximum extent permitted by applicable law, the institute shall not be liable for any indirect, incidental, or consequential damages arising from your use of or inability to use the portal, including but not limited to loss of data or service interruption.

Termination

The institute reserves the right to suspend or terminate access to the portal for any student who violates these Terms of Use or who is no longer enrolled at the institute. Upon termination, your session data will be cleared and your Student ID will be deactivated.

Governing Law

These Terms of Use are governed by the laws of India. Any disputes arising from the use of this portal shall be subject to the jurisdiction of the courts of India.
